Personal Data Processing Policy

This privacy policy is based on Article 415 of Book Five of the Digital Code relating to the Protection of Personal Data.

It mentions proof of completion of prior formalities with the Personal Data Protection Authority (APDP) and helps you understand what information we collect and process within Global IT Service « GITS », the personal data involved, the intended purposes, and the management policy implemented to comply with legislation on personal data protection and privacy in the Republic of Benin.

Please read this Privacy Policy carefully, as it is binding on us. By providing your Personal Data through our forms, you acknowledge that you have read this policy and expressly consent to it, as well as to the processing itself.

  • Security commitment: technical and operational security measures meeting industry standards are applied at all levels of information processing, whether for collection, storage, or backups.
  • Non-disclosure commitment: no data is subject to automated disclosure to service providers or third parties. However, certain information may be published and disclosed strictly within the limits required by laws relating to decentralised financial systems, in particular in accordance with Law No. 2012-14 of 21 March 2012.
  • Commitment to respecting the rights of data subjects: rights allowing access, rectification, and deletion of certain personal data, as well as the export of all such data, are ensured.
  • Commitment to legal compliance: the information system complies with data protection legislation.
  • We have implemented appropriate technical and organisational security measures to prevent the destruction, loss, falsification, modification, unauthorised access, or erroneous notification to third parties of the Personal Data collected, as well as any other unauthorised processing of such data.
  • We guarantee a sufficient level of protection by making obligations applicable to collaborators.

3. Personal Data Subject to Processing

The data processed includes personal information we collect from our clients, employees, and on our website during their various operations.

Personal Data of Clients

Full name of the legal representative of the legal entity, phone numbers, personal identification certificate (CIP), IFU number, RCCM number, bank account details (RIB), email address, geographical location.

Personal Data of Employees

Job application, valid criminal record, identity photo, certified birth certificate, certified birth certificate of spouse and dependent children, marriage certificate extract, legalised nationality certificate, personal identification certificate (CIP), legalised copy of diplomas, proof of residence, employment certificates from previous professional experiences, CV, bank account details (RIB), identity photos of spouse and dependent children, copy of CNSS affiliation card.

Personal Data from the Website

Full name, email address, phone number, IP address, cookies, pages visited, visit duration, country of visit, date of visit.

4. Operations Performed

GITS only collects personal information relating to clients, employees, and website users for the exclusive purpose of processing their operations.

The information collected is subject to the following operations:

Collection, adaptation, display and exhibition, storage, copying, exploitation, recording, modification, extraction, backup, consultation, use, communication by transmission, encryption, restriction, erasure, structuring, destruction and organisation aimed at achieving the purposes mentioned below.

5. Purpose(s) of Processing

The information is collected for the following purposes:

  • Client relationship management
  • Human Resources management
  • Serving as the company's showcase website
  • Staff recruitment
  • Optimisation of user experience

It should be noted that each processing operation corresponds to a specific and unique purpose. In the event that a single processing operation could serve multiple purposes, your consent will be obtained separately for each one.

6. Recipients of Personal Data, Communication and Transfer

6.1 The recipients of this data are the following internal departments:

  • General Management
  • Compliance Department
  • IT Security Department
  • IT Development Department

6.2 The data is communicated to the following entities:

  • Ministry of Economy and Finance – DGI-Tax Department
  • JKE consulting (Accounting Firm)
  • Directorate General of Labour (DGT)
  • National Social Security Fund (CNSS)

6.3 The data is transferred to the following company:

  • Akamai Technologies Sarl (Website)

No data will be transmitted to a third party. Global IT Service will not sell, rent, distribute, or make your Personal Data commercially accessible to third parties, except in the cases described above or with your prior consent.

7. Duration of Processing, Retention and Storage

Personal data of clients is retained for a period of ten (10) years.

Personal data of employees is retained for a period of ten (10) years after the termination of the contractual relationship.

Personal data collected via the website is retained for a period of six (6) months necessary to achieve the purposes for which it was communicated to GITS, in compliance with applicable regulations, and is in any case anonymised or destroyed at the end of that period.

This period is determined based on the legal and regulatory obligations applicable to the area of activity. After this period, data is deleted or anonymised, in accordance with the provisions of the Digital Code of the Republic of Benin.

GITS undertakes to respond to requests from data subjects within one month (30 days) of receiving the request. This period may be extended by two additional months if necessary, depending on the complexity and number of requests. In such cases, the data subject will be informed of the extension and the reasons for the delay.

You have the right to lodge a complaint with the Personal Data Protection Authority:
